The Hawaii Technology Development Corporation a State agency seeks a dynamic, well organized Executive Assistant to support the Executive Director/CEO and HTDC Board of Directors. The EA supports the Executive Director in day to day activities, scheduling meetings, email correspondence and organization. This administrative position interacts with state legislative offices and high-level state agency officials requiring protocol and acting with decorum. This Executive Assistant serves as secretary to the Board of Directors preparing agendas, minutes, reports and scheduling meetings. This position provides various administrative support for the agency regarding legislative activities, personnel, procurement, secretarial and clerical support, travel, and other related administrative functions.
Main Job Tasks and Responsibilities
Serve as legislative coordinator and assist in preparing legislative testimony and bill tracking.
Manage and maintain executives' schedules, appointments, arrange and co-ordinate meetings and events for the Executive Director and travel arrangements
Monitor, screen, respond to and distribute incoming communications
Receive and interact with incoming visitors and clients
Review operating practices and implement improvements where necessary
Conduct research, collect data to prepare reports and documents as directed
Must be highly organized, excellent time management, ability to follow instructions and execute quickly and efficiently, must be proactive and take initiative. Must be able to work in a fast-paced environment and handle multiple tasks and deadlines. Ability to take minutes and knowledge of meeting procedures is preferred. Executive assistant should have good problem-solving skills, with good judgement. Position requires the ability to communicate well with all levels of people and work in confidentiality. The office works in a fast-paced environment and occasionally requires working overtime at night and weekends. HTDC is a small agency so working in a team environment is a must.
Personal or desktop computer proficient including internet, email, Microsoft Word, Excel, and PowerPoint. Familiarity with State procedures, Office 365 and Sharepoint is desired.
Minimum five (5) years in a progressively responsible position providing Executive secretarial support, preferably with a State or federal agency. Experience in working with the State legislature is a plus. Graduation from high school required. Graduation from a University or business college is preferred. Education and experience may be substituted for each other on a year-for-year basis.
